I'd love to find some software that I can enter a job and job number and it also had a time tracker on it. One that could be used over a network would be great and once a job is finished and invoiced, that job can be archived so that it can easily be referenced in the future. You could either search by job number or client etc. I've found some like 'On the Job' and 'Firetask' but they don't seem to do everything I need.

What are others using to keep track of and organize their projects? BTW I'm doing video production.

Try Flow from Gridiron, it may be discontinued though.

Thanks for the link. I downloaded it but it doesn't work. Needs you to be logged in to a website that doesn't exist. Since I originally posted I've found one called iBiz that looks interesting. I'll give the trial a shot and see how it goes.

We have used iBiz for years...bought the server version and we keep track of all jobs including mileage and even hours for employees.

Works great and has for many years!

Good to hear Rich. I haven't been able to get it to work yet. I have started up the trial but it won't let me add clients. I have contacted support so I can't try it yet. A question about it, do you use the time tracker? The one in 'On the Job' is excellent. Does it work well?

Note that Flow is alive and well and living at EditShare. Lots of new stuff about it this week at NAB. It's currently more focused on asset management, with some nifty new features like ingest and logging...but there are indeed a number of project tracking and management tools too.

Actually, EditShare Flow has nothing to do with Gridiron Flow — I hadn't even heard of the latter until now.

“Our” Flow product is a production media asset manager, whereas Gridiron’s appears to be filling (or was once filling?) a somewhat different niche.

I'm not aware of anyone using EditShare Flow for the kind of project & management tracking tasks being described here, but it’s an interesting idea, and certainly something we could consider looking at, if there’s demand for it. Feel free to get in touch with us (contact info is available at editshare.com/contact) and we can discuss this in more detail.

I don't have an all in one solution, but there are two tools I make use for project management and tracking. I normally edit in Avid Media Composer. In the Project Bin, there's a usage bin that tracks the time Avid has been open for the project.

The second tool is an online program called Harvest (harvestapp.com) that I use to Design Projects, Track Time, and Invoice Clients (including submission of estimates).

Avid is great because I don't need to remember to start the tracking (usage) function up when I'm editing. Harvest needs to be started up, but can track time for most any function, even time spend reading on the Cow should I desire.

Hope this helps.

One thing I forgot to mention in the previous post was that the Avid Usage Tab will show both elapsed time for the current session, and total elapsed time for the project. This is handy for when you open old projects, the usage data is still there.

Thanks for the info guys. Another I've found that seems to work pretty well is Billings Pro. I'm trying a demo now. It allows me to install it on an employees computer and it syncs up with mine and it allows me to control what the employee sees. I can restrict them from the invoicing etc. It also allows me to export the data to Quickbooks or Moneyworks. The only issue I've found so far is customising an invoice. I'm probably doing something wrong but I can't find info in the manual on how to do it so I'm in trial and error mode :)

We'll see how it goes.
