workflow with desktop and laptop

I use SmartSound primarily on my desktop MacPro, but often I have to edit on location, for which I use a MacBook Pro with an external hard drive.
When I've bought new disks, I've been installing them via physical disk on both computers. Is that necessary? I've tried copying over the .sds files, with no luck. An earlier post here refers to a "rebuild library" command, which I don't see. In "Preferences" there is an "add album" option, but I don't see the new album's name.
If so, could someone explain to me what files I need? In addition to the big folder of Sound Files, there is a folder called "Encoding" which contains .blx files which refer to some, but not all of the album titles.
Thanks!
Bob C
